How much water might your team actually use?

A quiet ten-person office does not use water in the same way as a ten-person workshop, dealership or medical practice. Visitors, physical work, weather, rosters and site layout all change the answer.

This calculator uses the practical starting ranges we see across Summer Springs workplace accounts. It is designed to get the first delivery close, not pretend every team drinks to a perfect mathematical formula.

Workplace basics

Safe drinking water is not an office perk.

NSW work health and safety requirements treat drinking water as an essential workplace facility. Clean drinking water must be provided free of charge and positioned where workers can access it.

The NSW Code of Practice also says drinking water should be at or below 24°C and located close to hot or strenuous work where appropriate.

Hiring a cooler does not replace a workplace risk assessment or other heat controls. It can, however, be a practical way to provide cool, hygienic drinking water where the team can access it easily.

How many 15L bottles will our office need?

It depends on staff numbers, visitors, the kind of work being performed, weather and delivery frequency. A typical ten-person office may begin around five bottles over four weeks, while a customer-facing or more physically active workplace may require considerably more.

Does Summer Springs deliver to every NSW workplace?

No. Our own delivery routes cover defined towns, suburbs and regional communities from our Dubbo, Tamworth and Armidale depots.

We've also got a great relationship with several other spring water providers throughout New South Wales so we can connect you with them for direct delivery, or if you want one billing partner, we can arrange to have Summer Springs invoice for your locations that can be serviced by our partners.

Do staff need to be present for every delivery?

Not always. Where suitable, you can nominate a safe and accessible location for full and empty bottles. We should be told about locked gates, alarmed areas, restricted access, loading docks, pets or site induction requirements.

Can we change the number of bottles?

Yes. Bottle quantities can be increased or reduced as staff numbers, seasonal demand and workplace activity change. Deliveries can also be paused during shutdowns or extended closures. Usually our drivers will manage this for you, most customers don't even need to think about it as our drivers will deliver more as the weather heats up and less as it cools, and will flow and flex with you.

Should the workplace hire or purchase its cooler?

Annual hire keeps the initial cost lower and leaves normal-use cooler support with Summer Springs. Outright purchase suits businesses that prefer to own the asset as well as maintain and manage it beyond the product warranty period.

What happens if a hired cooler stops working?

Tell our team if the cooler develops a fault during normal use. Rather than carrying out a lengthy repair at your workplace, we arrange an equivalent replacement and collect the faulty unit.

Can we use our existing water cooler?

Yes. Our easy-spike bottles are designed to universally fit most coolers. We've not come across one our bottles don't work with yet. You can order the returnable spring water bottles without hiring another cooler.

What happens to the empty bottles?

Keep them for the next delivery. Your driver collects the empty bottles when the full bottles arrive. They are returned for washing, sanitising, inspection and refilling.

Can Summer Springs help with multiple work areas or locations?

Yes. A divided workplace may need separate coolers for the office, reception, warehouse, workshop or lunchroom. For multiple business locations, we can have these as one account and statement with multiple locations, or as individual accounts and statements.

Does hiring a cooler make our workplace WHS compliant?

Not by itself. Workplace duties involve providing adequate, safe and accessible drinking water and considering the work, hazards, location and needs of workers. A cooler and regular bottle supply may form part of that approach, but the business remains responsible for its overall facilities and risk controls.

Good workplace water should not require a weekly management meeting.
